Your contractors shouldn’t lose a day a month to invoicing.
BillMyTime reads approved Clockify timesheets and produces standardized, tax-ready PDF invoices in under ten seconds — same format for every contractor, every currency, every month.
Built by Spainlink · Live in the cake.com Marketplace
Contractor invoicing is a monthly tax nobody budgeted for.
Most companies have a clean process for invoicing their own clients. Receiving invoices from a distributed contractor pool is the opposite — hours copied by hand out of Clockify, exchange rates Googled, VAT and withholding worked out in a spreadsheet, and every PDF arriving in a slightly different shape.
Multiply that by dozens of contractors across several countries and it becomes hours of finance and ops time every month, plus a reconciliation headache at quarter-end. It scales badly, and it scales with headcount.
Three steps. The third one is a PDF.
- 01
Install it in your workspace
BillMyTime is a Clockify add-on — install it once from the marketplace and it lives inside the workspace your team already uses. Nothing to deploy on anyone’s machine, and every member of the workspace can use it.
- 02
Approve the hours
Hours are reviewed and approved the way they always are. Only time that’s both approved and billable becomes an invoice line — approved but non-billable time is left off automatically.
- 03
Get the invoice
A standardized, tax-ready PDF is generated in under ten seconds — correct currency, correct tax lines, same layout every time.
Standardized invoicing, end to end.
-
10-second PDF generation
Approved Clockify timesheets become a finished invoice in under ten seconds — no manual copy-paste, no Word templates.
-
Live ECB exchange rates
Currency conversion uses real-time European Central Bank rates for USD → EUR and 10+ other currencies. No more Googling the rate.
-
Configurable tax & withholding
Additive taxes like VAT and GST are applied automatically, and withholding is a separate line with a label you set to match local rules — no jurisdiction is hard-coded.
-
One consistent format
Every contractor’s invoice arrives in the same layout. Predictable to read, predictable to reconcile, predictable to file.
-
Works for any country
Nothing is locked to one jurisdiction. Currencies, additive taxes, and the withholding label adapt to wherever your contractors invoice from.
-
Fits your AP workflow
Output is a clean, standardized PDF that drops straight into your existing accounts-payable process — nothing to rebuild.
A short walkthrough, from approved hours to finished PDF.
- Timesheet approved? Generate the invoice right away.
Questions buyers ask first.
- Do our contractors need to install or change anything?
- No. BillMyTime is a Clockify add-on installed once in your workspace from the marketplace — nothing lands on anyone’s machine. It works from the timesheets your team already keeps, so approved hours become invoices with no new tool to learn and no data to re-enter.
- How are currencies and exchange rates handled?
- Currency conversion uses live European Central Bank rates, covering USD → EUR and 10+ other currencies. The rate applied is the official one for the period, not a number someone looked up by hand.
- Which taxes does it handle?
- Additive taxes like VAT and GST are applied automatically, and withholding is handled as a separate line with a label you set per jurisdiction (IRPF, TDS, and so on). Nothing is hard-coded to one country, so the right tax lines apply based on each contractor’s setup.
- How does this fit our accounts-payable process?
- The output is a standardized, tax-ready PDF in a single consistent format. It drops into your existing AP workflow the same way any other invoice would — you don’t have to change your finance stack.
- We don’t use Clockify — can we still use BillMyTime?
- Today BillMyTime runs on Clockify. If your team uses a different time tracker, Spainlink — the studio behind it — can build the same integration for your tool, with the same standardized, tax-ready output. Tell us what you use and we’ll scope it.To ask about a custom integration, email info@spainlink.es.
- Is there a public price?
- Not for enterprise deployments. Pricing depends on contractor count and how you want it deployed, so we scope it on a short demo call rather than guessing on a pricing page.
- Who is behind BillMyTime?
- It’s built and maintained by Spainlink, a senior-led software engineering studio that works with companies worldwide. BillMyTime started as an add-on in the cake.com / Clockify marketplace, and this site is where teams come to put it to work across their contractor pool.
Not on Clockify? We’ll build the same thing for your stack.
BillMyTime runs on Clockify today. If your team tracks time somewhere else, Spainlink can build the same integration for your tool — same standardized, tax-ready output — so your people get back to the work and forget invoicing exists. Tell us what you use and we’ll make it happen.
